How to strengthen BPM process automation

The BPM methodology seeks to use information technology to automate as many activities in an organization as possible and make them work on a central integrated system that coordinates everything so that the total operation achieves the company’s goals within the agreed deadlines.

This automation technology is getting better every day and includes better functionalities to accomplish its task. In this article we want to talk about some terms that refer to new tools and techniques that strengthen the whole automation process and help the BPM operation.

Business Process Analysis (BPA)

This is an approach that promotes the use of the BPM tool for continuous analyses of the organization’s processes. The aim is to find out if changes are required because the processes are not working, if those responsible should be changed according to their specific skills or if any unnecessary action should be eliminated.

These analyses, which significantly improve the efficiency of the processes, help the processes to be faster and have a lower expenditure of resources, energy, and time. In addition, if the operation of a process is known in detail, it is much easier to align it with new activities to be introduced into the workflow or to connect it with processes of collaborating or outsourcing companies.

BPA is, in short, a way of getting to know one’s own business in depth to get the best benefits from it.

Process Maturity Model (PMM)

This name is given to a matrix that provides the appropriate criteria to know if a process is delivering the best it can. It is a way of evaluating or auditing the organization, its employees, the technology used, the strategies employed, the goals established, etc. Thus, it is possible to know if adaptations are required to get the best value out of the processes.

This model, if used in conjunction with BPA, can provide not only the current knowledge of the business, but also a vision of the possibilities that are being missed due to a lack of maturity in the processes.

Process Maturity looks at the departments in an organization and assesses what level of knowledge and documentation exists for the current state processes. The scale has 5 incremental levels where each level builds on the governance, ownership, documented processes and performance metrics. As you grow in Process Maturity, you increase your ability to navigate change, realize project benefits and increase adoption and usage. 

Finally, we have two functionalities related to the latest developments in machine learning and artificial intelligence: RPA and iBPM.

Robotic Process Automation (RPA)

This is an update of BPM that takes robotics developments to automate in a deeper way the company’s activities. In essence, what this method seeks is that the software tools imitate human actions and can repeat them in an appropriate manner according to the precise moment in which the operation requires it.

With this, people can reduce the expenditure of energy and attention in monotonous activities that do not require real creativity, to put that attention in the improvement of key aspects of the processes or in the development of products that more fully meet the needs of customers.

RPA is an umbrella term for tools that operate on the user interface of other computer systems in the way a human would do. RPA aims to replace people by automation done in an “outside-in’’ manner. This differs from the classical “inside-out” approach to improve information systems. Unlike traditional workflow technology, the information system remains unchanged.

Artificial Intelligence and BPM. iBPM (Intelligent BPM)

Artificial intelligence is being used in all kinds of applications in everyday life. Businesses are also taking advantage of its benefits. Thinking about these benefits, BPM has managed to integrate the autonomy of artificial intelligence to become a more flexible and adaptable tool, which reacts appropriately to new situations and is able to make decisions in real time for the overall benefit of the business.

In this way, the software tends to be updated to meet the needs of the team in each new eventuality, with new variables and requirements. Thus, it becomes an excellent ally in times of rapid changes in market conditions and in the way customers relate to the services they use.

With the use of robotics, process analysis and artificial intelligence, BPM is increasingly becoming a necessity for corporate development, and not just another option, as it was previously considered. The reason is that the speed of business already demands automation of a large part of the activities, and an immersion in the possibilities of technology for interaction with customers and for the alignment of activities.
