BPM and continual improvement

A company maintain its competitiveness as long as it improves its processes and makes them more effective, accurate, and adjusted to the needs of customers. If there is no continual improvement, there will always be entities that are more suitable for offering more attractive services to users, and the company will always be in the last places of preference. For that reason, it is necessary to reflect on what we know as the process of continual improvement, this is, the capacity to check on process, identify weak spots in the workflow and design measurements for improving those processes. There is an important relation between that continual improvement and BPM.

The main thing to be understood is that for succeeding in this we require an alignment between enterprise architecture, that can be seen as a synonymous of business strategy, and BPM solution, the one chosen for automating processes:

Today’s global environment requires businesses to work smarter and to improve the coordination between planning and execution to continuously improve business processes and optimize costs. While Business Process Management (BPM) and Enterprise Architecture (EA) each have value on their own, they are also naturally synergistic, and together provide better business outcomes and strategic alignment of business and IT (bpminstitute.org).

From there, a strategy can be displayed for seek to have a continual improvement through the identification of the weaknesses there are in the operation.

Improvement with Business Process Management and business strategy

The way of using BPM solutions in order to guarantee the continual improvement is to check the system of the operation for detecting the delays. This is possible because BPM have a record of all the steps in the process and can show to the users the metrics that are useful for establishing where are improves needed. For instance, we can check why a process that was designed for being developed in a day, takes three days, who is the responsible of the action, why is it taking so long for making the decision, etc. Thus, the appropriate measurements can be done.

With all the information then it is possible to adequate the business strategy for it can be really helpful for the purposes of the business and it won´t be an obstacle that is maintained just for the sake of the habit or for an erroneous believe. Thus, BPM helps to the continual improvement in a better way if we take into account also the business strategy that is used.

When done together, BPM provides the business context, understanding and metrics, and EA provides the discipline for translating business vision and strategy into architectural change. Only when supported by appropriate collaboration and governance processes can BPM and EA roles work effectively together towards the common goals of the enterprise (bpminstitute.org).

In addition, it is necessary to take into account that it is not an undifferentiated improvement, but we mut prioritize what is more important to be improved, and thus we won’t loss time in adaptations that don’t really benefit the organization:

The business strategy should embrace the entire organization and follow a BPM approach. To ensure effectiveness, every improvement, no matter the subject, must be justified by its contribution to the business strategy and goals. Thus, before initiating any project, one needs to clearly understand the orientations to the project, starting from the organization’s strategy and its business improvement objectives. Furthermore, it is important to know the processes that belong to the scope of the project and the place of these processes in the enterprise architecture (researchgate.net).

This means that planning is essential, and BPM also brings a key tool: process designer, with which we can stablish with clarity the route of each process and the goals to be achieved. In addition, as we can run a simulation of the process, the BPM solution impacts in continual improvement because the operation begins with an already cleansed and agile process that will need simpler adjustments that wouldn’t damage the direction of activities.

Dexon BPM solution is designed for having all these benefits. As it is an adaptable and flexible solution, it can be perfectly aligned with business strategy, or can show the need of adapting that strategy to the goals and possibilities and real resources of the business. Thus, it is the perfect solution for stablishing a rhythm for the continual improvement that can impact the processes each time these are displayed; also, the users are taken into account, and also directives, customers, etc., for achieving a synergy not only between BPM and business strategy, but also between all the human participants.
